POSITION SUMMARY:

The Facilities Specialist will be responsible for ensuring the efficient operation and maintenance of our facilities. Responsible for ensuring the proper allocation of service requirements and identification of Capex investment needs. Identifies and utilizes preferred vendors to maximize cost-saving initiatives. Works with the Facilities Manager in the procurement process for services rendered from quote through delivery and/or installation ensuring completion and required specifications are met. Partners cross-functionally with Safety, Regional, and Warehouse Management. Oversee and align protocols for ongoing maintenance and record-keeping needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plans, executes, and implements facility policies and procedures in compliance with local, state, and federal rules and regulations including Occupational Safety and Health Administration (OSHA), Environmental Protection Agency (EPA) and National Fire Protection Association (NFPA) for all facilities assigned.
  • Supports the development, evaluation and upgrading of facility protocols.
  • Responsible for facility, grounds and maintenance of building structure, parking area, egress points, sidewalks, dock doors, dock plates, and storage racking to ensure it is in good condition and does not pose a health or safety concern.
  • Advises management on Facility compliance concerns and preventative actions.
  • Performs facility inspections and makes recommendations for corrective or preventive measures where indicated and follows up to ensure measures have been implemented.
  • Maintains and monitors facility files and records.
  • Onsite contact for bids and quotes for third party vendor contracts. Partners in negotiating and selecting vendors.
  • Schedule, assign appropriate contactors to perform maintenance duties in carpentry, electrical, painting, plumbing, heating / cooling, ventilation, roofing, building and ground maintenance, vending, cleaning, and security.
  • Monitors contractor/vendor performance and works closely with outside vendors to ensure work is completed to specifications. Approves supplier and vendor invoices. Resolve issues that arise.
  • Respond and resolve facility service work orders quickly and efficiently. Troubleshoot issues to determine cause and solution.
  • Assists Facilities Manager in preparing annual maintenance budget.
  • Active member of the Safety Committee
  • Assist with project management. (Racking, floors, lg scale building projects, IT - hang monitors, measure out for wiring - Ethernet needs)
  • Stays current in emerging technical and professional aspects of the position.
  • May work different shifts to oversee preventive maintenance.
  • Other duties as assigned.

EDUCATION, QUALIFICATIONS, SKILLS & ABILITIES:

  • High school diploma or equivalent.
  • A bachelor's or technical degree and a minimum of 3-5 years of facilities related experience or commensurate combination of education and experience.
  • 2+ years' experience with facilities and building management and/or maintenance.
  • Knowledge of federal and state rules and regulations regarding safety and environmental issues.
  • Experience in OSHA, EPA and NFPA regulatory requirements preferred.
  • Knowledgeable in facilities, utilities, and distribution infrastructure.
  • Able to read and decipher technical diagrams, schematics, blueprints and manuals.
  • Excellent communication and interpersonal skills to influence management and senior management level employees and others on sensitive or complex technical issues inside and/or outside the department.
  • Ability to prioritize, manage multiple projects, works well under pressure, able to meet deadlines and drive change in a positive manner. Results oriented, focused on continuous improvement.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Word, Excel and PowerPoint.
  • Requires occasional lifting/pushing/pulling ability of up 30- 50 pounds. Frequent walking on a concrete surface and working varying weather conditions (office/warehouse).
  • Must maintain valid driver's license, clean driving record, and forklift certification.
  • Ability to travel to remote sites, branches as needed (25%).
