Job/Internship Description

General Description

Intern assumes administrative roles involving duties and responsibilities commonly assigned to an entry-level manager position in recreation, while under the supervision of the Recreation Superintendent as well as the Director of Parks, Recreation and Forestry. Job duties will include assisting full-time staff with program planning, promoting, organizing, evaluating recreation programs and services, customer service, budget monitoring and overall facility operations. In addition, the intern will work with the Parks and Forestry full time staff and assist them with daily tasks, inspections, special projects, and overall functions. The intern will also be encouraged to explore other areas of interest to learn more about recreation and the general operations both within and outside of the assigned department that will be supplemental to the learning experience.

Additional Information:

Internships accepted year round. Position is flexible for starting and ending times according to applicant's availability and fulfillment of internship requirements.

The Summer internship is a partially paid position available approximately mid-May through mid to end of August. Winter/Spring (Jan.-May) & Fall (Sept.-Dec.) unpaid internships also accepted.

Offices are closed on recognized holidays, i.e. Memorial Day & July 4. If a holiday falls on a weekend, city offices are closed on Friday (if holiday is on Saturday) and Monday (if holiday falls on a Sunday).

Essential Functions

Programming:

  • Assist full-time staff in program planning, as well as planning and scheduling for the City's summer playground program & events; also assist in planning, implementing, and general supervision of senior citizen's activities and youth/adult programs
  • Utilize recreation software, such as ActiveNet and Access, for program and event registration and facility reservations
  • Attend department staff meetings
  • Utilize the survey software, Survey Monkey, to receive feedback from participants on new programs

Marketing:

  • Assist in marketing the department's programs and services through the development of public relations materials and through community interaction
  • Acquire skills to be proficient in designing and creating publicity with designated software such as Microsoft Publisher
  • Design and distribute publicity for upcoming events and programs (i.e. brochures, posters, press releases, flyers, etc.)
  • Assist with updating website, Facebook page, and using other online publicity to promote programs and events

Facility Operations and Maintenance

  • Work with staff on day-to-day operations, including but not limited to, phone and counter trade, enrolling participants for programs and events, selling pool passes and discounted tickets, scheduling facility reservations, providing tours, performing light maintenance and cleaning duties, along with any other general operations of the City's Community Center.
  • Follow proper office procedures, phone protocol, operational record keeping, and other paperwork procedures commonly used in the daily functions of the department
  • Review operational manuals and reports for the equipment and facilities used by the department
  • Work with Parks and Forestry Supervisor and learn their administrative roles
  • Become familiar with documentation used in Parks and Forestry divisions
  • Shadow aquatics division to learn general facility operations

Budgeting or Financial Management:

  • Learn budgetary and financial policies and procedures by assisting with some portion of the budgetary process
  • Assist Community Center Manager to determine budget for programs and events
  • Collect and account for all fees remitted
  • Assist with balancing cash drawer
  • Perform profit/loss reports on programs/events

Personnel Supervision and Management:

  • Review and understand employee manual and department policies and procedures
  • Involvement in the recruitment, hiring, training, scheduling and evaluating of seasonal park and recreation staff and programs
  • Assist in delegation, coordination, and implementation of tasks needed for smooth operation
  • Responsible for tracking and organizing documentation of accidents, injuries, incidents, complaints, and problems of staff
  • Understand each division's primary function within the department, each staff member's function, and the inter-relations between each of the divisions through various job shadow opportunities

General:

  • Plan and implement a major project
  • Submit reports to supervisor on activities and meet to review experiences and tasks
  • Participate in orientation that includes facilities tour, staff introductions, overview of department procedures, familiarization with customer services, and review of intern duties
  • Attend staff meetings on a regular basis. Also, attend board meetings, executive meetings, professional association meetings, and other relevant meetings
  • Gain a thorough understanding of department philosophy, programs, services, and methods
  • Perform other duties as required

Knowledge, Skills and Abilities

  • Knowledge of principles for planning and implementation of recreation programs and events for all ages.
  • Ability to communicate effectively, both written and orally.
  • Proficiency in Word, Excel and Publisher.
  • Ability to learn and execute registration and reservation software programs.

Minimum Requirements & Physical Requirements

  • Pursuing a degree in recreation management or related field.
  • Experience working in parks & recreation or related field required.
  • Experience with program and event planning and working with children a plus.
  • At least 18 years of age.
