Job Description

POSITION OBJECTIVE

The Coordinator serves as the front-line contact for visitors to the Center for Civic Engagement and Learning (CCEL), has the overall responsibility for the smooth functioning of the Center for Civic Engagement and Learning office, and connects students to civic engagement opportunities and resources. This position promotes and coordinates community service opportunities by assisting drop-in students, managing community service fairs, coordinating on-campus blood drives, creating the weekly departmental e-newsletter, and assisting with non-partisan political engagement activities, including voter registration. This position also oversees the scheduling, use, and maintenance of the Center for Civic Engagement and Learning van fleet and maintains the department's financial transactions. The coordinator supervises Center for Civic Engagement and Learning's student office assistants.

ESSENTIAL FUNCTIONS

  1. Welcome and assist all drop-in visitors with their inquiries and requests in a helpful, friendly, and informed way; provide information about Center for Civic Engagement and Learning programs and community service opportunities. Maintain an organized and welcoming environment in Center for Civic Engagement and Learning that promotes civic engagement and student connection to Cleveland. Maintain a smooth functioning office: work with vendors to maintain office equipment; complete room reservations, catering orders, and administrative tasks as necessary to support Center for Civic Engagement and Learning programs. Organize Center for Civic Engagement and Learning open house events that inform students of opportunities and/or recognize student volunteers. (22%)
  2. Oversee the Center for Civic Engagement and Learning van fleet, a key resource in implementing civic engagement programming. Manage multiple van reservations, daily van scheduling, van key pick-up/drop-off, ensuring the vans have sufficient fuel at all times, responding to inquiries, scheduling routine maintenance, overseeing the required Center for Civic Engagement and Learning training, required of all van drivers after they have completed the University Van Safety Training, and billing student organizations and departments as appropriate. (15%)
  3. Create and maintain Center for Civic Engagement and Learning communication initiatives to connect students with opportunities to get involved in community service. Maintain the department's CampusGroups pages, including creating and editing a weekly electronic newsletter. Maintain electronic mailing list of recipients; communicate with community partner organizations regarding service opportunities; update department website and manage social media platforms. (12%)
  4. Supervise the student office assistants, a team of 4 to 6 students who work in the Center for Civic Engagement and Learning office. Recruit, select, and train students to promote their ongoing development. Organize student projects, in consultation with Center for Civic Engagement and Learning staff, and provide day-to-day oversight of students. (12%)
  5. Maintain Center for Civic Engagement and Learning's financial transactions, which include reconciling monthly expense statement and credit card statements, purchasing general supplies and equipment, making deposits, expense journals, disbursements and reimbursements through the PeopleSoft financial system and working with the director on budget forecasts. (10%)
  6. Plan and coordinate community service fairs, including outreach to more than 50 community organizations, planning and handling all event logistics, recruitment of student volunteers to assist with the event, creation of event materials, and promotion. Manage day-of event, including community partner coordination and attendance of more than 225 students. (10%)
  7. Work with Center for Civic Engagement and Learning staff to facilitate non-partisan voter registration and education activities to facilitate student political engagement. Assist in maintaining voter registration materials, resources and help with coordination of logistics of student voting shuttles. Assist drop-in students with voter registration. (8%)
  8. Facilitate on-campus blood drives as the Center for Civic Engagement and Learning representative to the American Red Cross. Recruit and develop schedule of student organizations to staff registration, oversee on-campus logistics, develop marketing strategies to ensure donation targets are met, and oversee promotion. (7%)

CONTACTS

Department: Continual, daily contact with Center for Civic Engagement and Learning professional staff to collaborate and ensure work is aligned with Center for Civic Engagement and Learning's mission. Continual contact with student assistants to coordinate and oversee their work.

University: Frequent contact with departments within the Division of Student Affairs to promote Center for Civic Engagement and Learning programs. Regular contact with university office of Facilities and Operations and Environmental Health and Safety to coordinate van safety certification and van related issues. Regular contact with IT to manage CampusGroups portal.

External: Frequent contact with more than 75 Cleveland area organization staff to develop and implement civic engagement programs and community service fairs, and to promote their volunteer opportunities to students. Frequent contact with vendors to make office purchases and request equipment and van repairs. Regular contact with national organizations that support campus voter engagement projects.

Students: Daily contact with students participating in Center for Civic Engagement and Learning programs to provide assistance with registration and program logistics. Continual contact with students for purposes of recruitment, information-sharing, and placement in Center for Civic Engagement and Learning program and community-based opportunities. Frequent contact with students for the development and delivery of civic engagement programming.

SUPERVISORY RESPONSIBILITY

This position supervises the Center for Civic Engagement and Learning student office assistants.

QUALIFICATIONS

Experience: at least 1 year of experience in either: a) educational, community-based, or nonprofit setting; b) service program such as Peace Corps, AmeriCorps, etc.; c) an administrative setting; or d) equivalent experience through undergraduate or graduate involvement in community service/civic engagement programs required.

Education/Licensing: Bachelor's degree required. Must have valid Ohio driver's license required for driving Center for Civic Engagement and Learning vans.

REQUIRED SKILLS

      1. Sincere interest in community service, civic engagement, and community-based learning.
      2. Excellent oral and written communication skills.
      3. Excellent ability to work and communicate with various individuals within and external to the university. Must be able to interact well with college students and a diverse population.
      4. Strong organization skills: ability to multi-task, prioritize and meet deadlines. Must demonstrate attention to detail and accuracy, time management skills, and proven ability to successfully follow-through on assigned projects.
      5. Ability to work collaboratively and independently without close supervision.
      6. Proficiency with Microsoft Office Suite (particularly Word and Excel), internet, and social media.
      7. Knowledge of commonly-used administrative concepts, practices, and procedures.
      8. Knowledge of Greater Cleveland and community-based institutions preferred.
      9. Ability to meet consistent attendance.
      10. Ability to interact with colleagues, supervisors and customers face to face.

WORKING CONDITIONS

Typical office environment. The position requires driving a university vehicle to off-campus locations. Willing to work some flexible hours on some evenings and weekends to meet program and position objectives.

Hybrid Eligibility

This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
